MEMO: COVID-19 UPDATE

Dear Member & Program Participant,
We are writing to provide you with a facility update relating to our temporary closure due to the COVID-19 pandemic. This is an unprecedented time in our history, and we hope you are taking the Government’s position to practice social distancing and/or self-isolation as a means to stop the spread of the virus.
These are trying times for us all as we come to terms with our new reality. We want to reassure our members and program participants that we are taking the necessary steps to ensure our organization is ready to resume our operations once the Government lifts the closure order of all provincial recreation facilities.
The Board of Directors and Management have met to review our business continuance planning. The measures taken by the Board and Management will help weather this service interruption.
Some of the changes we have implement include:
· Temporarily laying off some of our staff members
· Salary reductions for full time employees
· Immediately reducing business expenditures
Maintenance has already deep cleaned and dis-infected the facility. This process will once again be repeated prior to reopening our facility. If you follow us on social media, you will find some online content from our tennis professionals which you can try at home. Our tennis professionals will regularly create content and post to our social media channels.
During this facility closure, we will post regular updates to our members and program participants through various sources, including through our email database, website and social media channels.

PROGRAM & MEMBERSHIP UPDATE:
Like many facilities, we are continuing to charge membership dues during our closure. Rest assured, we will extend membership expiry dates to reflect this service interruption, so our members are not impacted.
Our company policy is no refunds for program and membership fees, we will credit our members/program participants accordingly. Our staff is working very hard to ensure there is minimal impact to our members and program participants and that classes can be made up once the facility closure order is lifted.
Programs cancelled during the week of March 16 – 22, will be credited back to your member and program participant account. Program credits will be made in the coming weeks, due to the facility closure.
No decisions have been made on all spring programs at this time, which were slated to begin in April. Management and staff are reviewing a number of options including but not limited to:
· Crediting lost weeks
· Extending spring program dates
· Providing program credits for future sessions
· program scheduling changes to make up any lost sessions
· Creation of virtual programs (classroom) and/or content
The Alberta Tennis Centre values your continued business and support during this difficult time. We are a very resilient province and we will bounce back stronger than ever. Our staff members are looking forward to coming back to business and we hope to see our wonderful members and program participants very soon.
